Team fit: Supply Chain & Regulatory
The Supply Chain Admin plays a supporting role in Supply Chain team, contributing to the efficient and compliant execution of supply chain operations. The position focuses on providing administrative and coordination support to ensure timely regulatory submissions, accurate documentation and smooth logistics daily processes.
Role accountabilities
Administrative Support
• Assist with vendor billing and payment processes (e.g. Laboratory, EMS, Translation service, Warehousing, Customs &Logistics service).
• Ensure the application and renewal of appropriate licenses required for regulatory compliance are done appropriately
• Compile and maintain regulatory documentation database.
• Liaise with exporters and customs brokers to ensure shipping documents are submitted in compliance with customs regulations. Collect and file import documentation accordingly.
• Support other logistics-related administrative tasks such as internal staff sales/free goods processes and routine reporting.
Registration & New Product Development
• Contact and arrange a testing process with a qualified laboratory to get a Test report.
• Verify the test report with relevant regulation to make sure the product is qualified to be out for sale.
• Prepare test report to be translated to Vietnamese (if required)
• Prepare the registration form
• Provide scientific and regulatory research that relevant to scientific dossiers for regulatory submissions, with supporting materials that addresses potential queries, risk factors and other issues.
• Provide insight on registration processes and develop plans to address potential risks.
Logistics Operation
• Monitor forwarder service performance from customs clearance to shipment delivery accurately and timely
• Inbound process: Follow up with warehouse teams to ensure timely completion of value-added services and product release within standard lead times.
• Inventory: Track inventory levels, identify potential stock shortages, and coordinate with relevant teams to ensure product availability.
• Participate in monthly stock counts and assist in reconciling physical inventory with system records.
• Coordinate with the warehouse team to ensure bundling and other value added service plans are executed accurately and within the required lead time.
• Update SAP system to reflect real-time data on inbound shipments, stock transfers, and outbound deliveries, post good receipts for upcoming shipment.

Requirement
- Education: Supply Chain, Logistics, International Trade,
* Preferred: Experience in the dairy and nutritional food, science and chemical industry.
- Experience
• Basic understanding of Vietnam import customs procedures and the ability to interpret local laws and regulations.
• Familiarity with administrative tasks in supply chain or regulatory environments.
* Preferred:
• Relationship management and organizational skills.
• Problem-solving mindset with attention to detail.
• Knowledge of dairy and nutritional product regulations is an advantage.
