Job Description
** Reporting to: Head of Hanoi Office cum External Relations Manager.
** Job Summary:
Plan and execute a wide-range events as key public activities of EuroCham in Hanoi and North Vietnam.
• Online: Webinar.
• Hybrid: Workshop, Business Briefing, Dialogue.
• Onsite: Breakfast Talk, Business Luncheon, Excursion Trip.
• Key events: Annual General Meeting, Whitebook Launch, GALA Dinner,
Christmas Party.
Manage the full event lifecycle, including concept development, budgeting, logistics coordination, on-site execution, and post-event follow-up.
** Working Relationships:
• Internal: EuroCham team, Board of Directors, and Advisory Board.
• External: EuroCham members, European Union Delegation to Vietnam, EU
Member States Embassies, external speakers, suppliers, service providers, media, etc.
** Main Duties:
Event Planning and Execution
• Support to develop a diverse calendar of EuroCham events in Hanoi and North Vietnam
• Plan and execute a dynamic event programme and implementation, ensure timely and high-quality delivery of events in line with EuroCham standards.
• Seek sponsors, partners, co-organisers, co-hosts, speakers, moderators, as well as relevant media
• Coordinate all aspects of logistics and administration, manage contracts related to events in collaboration with EuroCham team members
• Work closely with the MarCom team to support event promotion, website updates, and marketing materials
• Ensure consistent branding and accurate event information across channels
Budget & Contract Management
• Prepare and monitor event budgets and P&L reports, ensuring cost efficiency and financial transparency
• Coordinate and negotiate contracts with venues, vendors, and service providers
Stakeholder Coordination and Support
• Prepare event performance reports and recommendation for improvement
Other relevant tasks as assigned by EuroCham management.
• Serve as key contact point and maintain strong relationships with sponsors,
speakers, attendees, suppliers, partners, etc.
• Provide effective pre-event briefings and communications, ensure comprehensive on-site support for speakers, attendees and partners.
Post-Event Evaluation and Report
• Conduct post-event follow-up communication and actions with audience, speakers and sponsors, including but not limited to surveys and feedback consolidation.
• Prepare event performance reports and recommendation for improvement.
Other relevant tasks as assigned by EuroCham management
Education Background:
Bachelor’s degree e.g. in Business Administration, Marketing, Communications, or Public Relations or related fields.
Work Experience:
• Minimum 5 years of experience in event management
• Demonstrated experience in organising corporate or business-oriented events.
• Experience working in an international or multicultural environment is an
advantage
Management Experience:
• No management experience required but considered as an asset
• Ability to independently manage multiple concurrent projects is essential.

Languages:
• Fluent written and spoken English and Vietnamese.
Software and Package Skills:
• Good computer skills with Microsoft Office (Word, Excel and PowerPoint).
