Job Description
Your role & responsibilities
- Prepare project transaction reconciliation reports and submit them to the Project Manager for confirmation.
- Draft, process and monitor contracts, acceptance minutes, and payment progress with clients.
- Prepare and provide required documentation to international payment gateways for purposes such as:
- Opening new payment gateways
- Transaction clarification and compliance explanation
- Prepare other documents and administrative paperwork as required by business needs (e.g., business trips, internal procedures, compliance documents, etc.).
- Track and update contract status, documentation records, and payment schedules accurately.
- Coordinate with internal teams to ensure proper documentation and timely submission of required paperwork.
- Perform administrative reporting as requested by the direct manager.
- Coordinate with the internal Accounting team to complete payment documentation and invoice processing for all types of contracts.
- Prepare, monitor, and report sales performance data of the Sales team as required by the BOD.
Your skills & qualifications
- Education: Bachelor’s degree in Business Administration, Office Administration, Law, or related fields.
- Experience: At least 1 year of experience in a similar Admin or Sales Admin position.
- Skills:
- Communication: Proactive, flexible, and able to coordinate effectively across departments.
- Language: Good reading and writing skills in English.
- Computer Skills: Proficient in Google Workspace (Docs, Sheets, Slides) or Microsoft Office (Word, Excel, PowerPoint).
- Adaptability: Quick learner with the ability to adapt to new technologies, software systems, and business processes.
- Organization & Time Management: Strong ability to prioritize tasks and manage deadlines effectively.
- Problem-solving & Decision-making: Proactively analyze situations, propose solutions to leaders, and execute accordingly.
- Personal Attributes:
- Agility: Quick, flexible, and clear in communication; able to grasp and resolve issues efficiently.
- Logical Thinking: Strong analytical mindset with the ability to organize tasks scientifically to ensure accuracy, efficiency, and cost optimization.

WORKING CONDITIONS:
- Time: 8:45 AM - 17:45 PM, Monday to Friday
- Location: HCM (38/15B Nguyen Van Troi Street, Ward 15, Phu Nhuan District, Ho Chi Minh City, Vietnam)
- Events on Saturdays & Sundays: If traveling for work, the company will cover 100% of travel and accommodation expenses.
