Job Summary
The Upholstery Production Coordinator is responsible for overseeing & managing the production flow at the assigned factory whilst maintaining clear and professional communication between the factory and head office. A key focus will be the seamless execution on fulfillment of sampling, PPS orders, priority backorders, fabric and frame tracking and overall stock production are in line with critical path requirements.
Tasks and Responsibilities:
Pre-Production Sampling (PPS)
• Collaborate with the PD and engineering teams to ensure PPS (Pre-production sampling) meet critical requirements and timelines.
• Audit dimensions, materials, and manufacturing methods for upholstered PPS units with the support from VT engineering teams.
• Work with product manager(s), engineering, PD and factory teams to arrange the review of PPS units which aligned with the production schedules of newness items.
• Create and file comprehensive PPS report for final review and future production reference by documenting PPS processes, including auditing results against CAD designs and material specifications
• Create detailed reports that document the upholstery production process with material specifications at each process step.
• Track and provide updates on PPS production statuses and issues with internal teams for discussion and problem solving.
Production Operations
• Monitor production schedules for timely delivery, Communicate production status to management on regular basis. Review and address gaps in factory Standard Stock Reports (SSR) to align with requirements.
• Partner with the factory to implement production planning adjustments where needed and communicate timely updates to internal teams or the customer where necessary.
• Coordinate production planning and work with Production QC & Technical Staff to control any quality issues as necessary.
• Share production statuses and maintain up-to-date information in the Master Tracker regarding.
• Track daily production output, worker counts, and capacity.
• Report significant updates or concerns affecting production capacity.
Priority Orders – SPO, DQ, Backorders, Testing, Web Samples, PD Samples
• Partner with the factory to ensure SPO orders are keyed in and released into production on time to support the SPO lead time target.
• Identify and track priority orders including aging SPO (2 months or older), requests of VIP (high value) clients, and any RH or internal requests.
• Share SPO production statuses and maintain up-to-date information in the Master Tracker.
• Coordinate with internal and factory teams to ensure timely and correct allocation of fabrics and frames for priority orders.
• Coordinate with Van Thiel on-site QC or engineers and factory team to ensure the manufacturing quality is aligned with standards for priority orders.
• Monitor and resolve challenges for priority orders.
• Provide clear, customer-facing updates on delivery or production schedules and status.
• Act as the main contact for issue resolution and communication regarding priority orders.
Supplier Coordination & Support
• Facilitate resolutions for supplier issues that could delay production of the factory.
• Coordinate with internal teams, factory staff, and local suppliers to maintain timelines.
• Educate factories on the required customer standards & procedures, including production guidelines and milestones that need to be monitored.
Supporting and Optimizing Factory Frame and Fabric Management
• Fabric/ leather Management:
o Monitor and report fabric/leather shortages to planning teams.
o Collaborate with QA Coordinators to resolve production-related issues and optimize inventory.
o Follow up on and ensure the factory allocates or manages fabric/ leather inventory per our guidance.
• Whitewood Frame Management (Starting from mid-2025):
o Identify and address frame shortages with planning teams.
o Provide insights into frame usage, inventory
Monitor and ensure the factory's compliance with allocation guideline VT has provided.

Skills & Qualifications:
• At least 5 years of experience in a production-related role – preferably within the furniture industry.
• Fluent in English and Chinese. Being additionally fluent in Vietnamese would be strongly preferred.
• Strong written, verbal, and visual communication skills.
• Ability to work independently and solve problems with minimal supervision.
• Detail-oriented with a process-driven mindset.
• Works with a sense of urgency with constantly shifting priorities.
• Exceptional project and time management abilities.
• Computer literate with a focus on Microsoft Office Suite – especially MS Excel.
• Upholstery experience is a plus.
• Able to commute by yourself to factory in Binh Duong (30km of the city)
• Working days from Monday – Saturday
