Because of business demand, we are in need of recruiting 01 Administration Executive in Hanoi.
+ Work location: Hanoi head office, AEON MALL Long Bien, No. 27 Co Linh Road, Long Bien ward, Hanoi
+ Working time: 5 days/week (Monday - Friday)
+ Report to: Japanese Director
Job summary:
Provide executive support to Japanese Director by facilitating efficient daily operations, managing schedules, coordinating meetings and assignments, and preparing reports and key documentation for management review.
The role also delivers administrative support to 3 teams in the department to ensure effective coordination and smooth operational processes.
Detailed job description:
1. Assistant to Japanese Director (60%)
+ Collect and consolidate information to prepare reports, summaries, and analytical materials for the Director’s review and decision-making.
+ Support the Director in monitoring key data and preparing documents for meetings, internal discussions, or strategic purposes.
+ Handle administrative processes related to the Director, following Company internal procedures & regulations (Payment, meeting arrangement...)
+ Provide coordination support for tasks and other assignments requested by the Director.
2. Administration management (40%)
+ Organize, track, and archive important company records such as contracts, agreements, and legal documents to ensure proper documentation, security, and easy retrieval.
+ Manage office supplies procurement and monitor consumable expenses.
+ Coordinate administrative logistics including business card orders, invoice processing, meeting room arrangements, transportation, and express mail services.
+ Prepare duty rosters of the department and support general operations to ensure smooth daily activities.

+ Perform other administrative tasks as assigned
1. Bachelor’s degree.
2. Have at least 3 years of working experiences in executive assistant, secretary, or administrative roles
3. Have ability to collect, consolidate, and analyze data to prepare reports for management purposes
3. Good command of English in both written and spoken communication
4. Proficiency in Microsoft Office applications, especially Excel and PowerPoint
5. Strong organizational, planning, and problem-solving skills with attention to details
